Assistant Dispatcher

We have an outstanding Contract to Hire position for an Assistant Dispatcher to join a leading Company located in the Riverside, CA surrounding area. Pay Rate: $21.00 - $24.00 Now hiring an Administrative Assistant Dispatcher for our manufacturing client that has over 100 years of trusted experience in their field. The team here values all individuals who possess strong communication and interpersonal skills, as well as being enthusiastic about helping consumers and assuring their satisfaction. Job Responsibilities: • Prepare, maintain and schedule the crew schedule and time for the following day/week. • Dispatching crews both at the beginning of and throughout the day and being the most knowledgeable person about where the crews have been assigned and where they are at any point of the day. • Communicating with the customers about scheduling or any changes in the schedule that occur. • Take calls for service calls from customers. • Create a dispatch in the system accurately stating the customer's description of their needs. • Process the previous day's paperwork and verify all Field Work Orders required fields are completed. • Coordinate with the Salesperson for the project to review work orders for completion of the contracted work, problems or incomplete work, opportunities for additional work required, safety deficiencies with the work that must be communicated to the customer. • Verify all required fields of Employee timecards are completed and timecards match field work orders - Dates, times, job numbers etc. • Identify the Vendor Receipt's job number/customer that the materials were purchased for. • Advise salespeople of the arrival of materials for their projects and direct them to check the goods arrived in good repair and are correct for the project requirements - type, count, size etc. • Enter any requests for estimates as service requests in the system, noting when it is for ESTIMATE ONLY rather than for dispatch. • Assign incoming estimates to a salesperson for follow-up using a fair method for the distribution of leads. • Prepare Invoicing of all completed jobs for branches using our HQ staff for billing, prepare and send billing instructions to HQ • Review completed billing to verify. • Perform collections of all accounts receivable at the branch to keep the AR in good standing at all times. • Collect phone call and emails to clients to advise of AR and request payment or at least the status of payment. • Report any collection problems to the branch manager and the project salesperson. • Coordinate any follow-up work if the reason for a delay in payment is the result of the customer's dissatisfaction with some part of the work. • Handling incoming/outgoing mail as well as preparing and sending weekly branch mail (UPS) packets. • Sell, track, schedule, and call customers for Preventative Maintenance Program and for annual fire door testing. Basic Hiring Criteria: • High school diploma or equivalent. • 2-3 years of experience in an Administrative Assistant position. • Must have good oral and written communication skills. • Strong organizational skills. • Type 45 wpm and be PC literate; basic knowledge of Word and Excel. • Must be able to handle difficult situations with minimal supervision.
