Job Description
General Responsibilities:
Performs administrative and general office duties of a responsible and confidential nature. Must be willing to learn and function as a dispatcher for 20+ field technicians. Must have strong communication skills. Produces a variety of correspondence, reports and presentations using the appropriate software for word processing, graphics and spreadsheets. Screens telephone calls, visitors, and receiving packages. Schedules, coordinates, and maintains calendar of appointments, meetings, luncheons, travel itineraries and related arrangements. Routes or answers routine inquiries. Will review contracts, assist with ordering, stocking office supplies and mail and will assist with office function needs. Prepares special reports. Gathers and summarizes data. May serve as a liaison between office and corporate functions. May be assigned to various functional areas of the company.

Essential Roles and Responsibilities:
• Dispatching/ Scheduling - Taking phone calls, forward messages, schedule work, communicating with technicians and contractors in order to create daily schedules.
• Front desk admin support - Greets visitors and callers and informs the proper employee of informs the proper employee of incoming calls or visitor's arrival.
• Proficient in computers: Will use for multiple portals, data entry, type various letters, create drafts for invoicing and correspondence to provide results by deadlines.
• Conflict Resolution
• Must be available to be On-Call (occasional evenings and weekends)
• Under minimal supervision, provides moderate to complex administrative support for an office, a department and/or group of professionals.
• Independently researches and obtains information for complex reports and special assignments including analyzing data, contracts and report preparation.
• Analyzes complex problems. Must be able to troubleshoot to resolve issues. Compiles and analyzes basic information for inclusion in reports or presentation materials, prepares charts, graphs or tables as necessary.
• May handle multiple traveling arrangements, coordinating calendar events, and including luncheons and special events.
• May be responsible for preparing invoices and billing clients.
• Follow safety rules, guidelines and standards for all projects. Participate in pre-task planning. Report any safety issues or concerns to management.
• Be responsible for maintaining standards on all projects.

Requirements:
• High school diploma or equivalent.
• Limited experience performing office support activities required.
• Must be able to lift up to 50 lbs.
• Valid driver’s license with acceptable violation history.
