The Administrative Assistant in the Department of Neurological Surgery provides essential administrative support to faculty, manages complex schedules, coordinates projects, and serves as a liaison for departmental activities.ResponsibilitiesProvide administrative support to faculty in the Department of Neurological SurgeryCoordinate and execute projectsIndependently compose correspondenceManage complex appointment calendar and travel arrangementsCoordinate meetings and special eventsServe as liaison with constituents on behalf of Department facultyProcess payment authorizations, purchase orders, and travel reimbursements using online system(s)Maintain academic files, promotion tracking, CVs, timesheets, and credentialingProvide support for Academic Programs and Special ProjectsPerform other administrative tasks as required and neededSkillsAbility to work independently or as part of a team as necessaryDemonstrated skill with setting up and maintaining filing systems for rapid and easy material retrievalFast and accurate transcription/typing/word processing skillsStrong problem-solving and analytical skillsDemonstrated ability to make appropriate decisions and maintain strict confidentialityDemonstrated ability to communicate clearly and effectively both orally and in written formDemonstrated proficiency in various business software packages, such as word processing, spreadsheets, presentation programs and database softwareDemonstrated accurate proofreading and editing skills with knowledge of proper formatsExperience working in a medical/research settingExperience with Microsoft Word, Excel, PowerPoint, Outlook and other standard office programsExcellent interpersonal, as well as written and oral communication skills (using grammatically correct written English and accurate typing) to effectively interact with stakeholders at all levels of the organization, exercising tact, mature judgment, diplomacy, and flexibility to promote positive working relationships and job effectivenessProven ability to develop, analyze, and carry out program and project objectives and work with others in achieving organizational goalsAbility to research, gather and organize information to produce concise reports using various resourcesDemonstrated knowledge of UC policies and proceduresKnowledge of medical terminologyCompany OverviewUC San Diego Health is the only academic health system in the San Diego region.
