Position Overview

We are currently seeking a highly organized and detail-oriented Part-Time Administrative Assistant to join our team. The ideal candidate will have experience with QuickBooks invoicing and a strong background in administrative duties including experience with School Bus Transportation Contracts, Contracts for Out of District Students Transportation, and McKinney Vento Students. This position can be partially or fully remote, and you will be working closely with our team to ensure smooth operations and accurate financial management.

Key Responsibilities
• Create and send invoices to clients using QuickBooks.
• Track payments and follow up on overdue invoices; maintain accurate records of invoicing and payments.
• Initiate contact with School Districts regarding potential contracts and bids.
• Manage students' and drivers’ schedules to ensure proper shift coverage.
• Manage and respond to emails and phone calls, scheduling and coordinating meetings and appointments.
• Prepare and maintain spreadsheets, reports, and other documents while managing company files and records.
• Answer incoming phone calls, route them appropriately, and take accurate meeting minutes.
• Contribute to company reports and assist in streamlining office processes to improve efficiency.

Required Qualifications
• High school diploma/GED required; Associate’s degree or administrative training is preferred.
• Previous experience as an Administrative Assistant or in a similar role.
• Familiarity with standard office equipment such as printers and fax machines.
• Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint.
• Highly organized with excellent time management skills and the ability to prioritize projects.
