Administrative Assistant

They are seeking a detail-oriented and customer-focused Administrative Assistant to provide clerical and administrative support to management and clients, ensuring efficient daily business operations.ResponsibilitiesServe as the front-line contact for incoming calls by managing multiple phone lines, screening and announcing callers, responding to routine inquiries, and accurately documenting and forwarding messagesMonitor and maintain the general voicemail systemPrepare and respond to written correspondence with clients, providing technical assistance and timely support as neededCorrespond with insurance carriers to verify expired or missing policies and update system records and contact information accordinglyPerform accurate data entry and ongoing account maintenance in the companyâs Customer Relationship Management (CRM) and Venice systemsVerify documentation, import online assignments, monitor daily assignment emails, and process account changes in a timely mannerAssist with data imports to support operational continuity during staff absencesAct as the primary point of contact for client training assistance and system setupProvide step-by-step guidance via phone and email on user setup, profile edits, training group creation, training assignments, and report generationTroubleshoot technical issues and complete setup tasks on behalf of clients when necessaryServe as the primary contact for the Employee Complaint Hotline, responding to callers using approved scripts, documenting complaints, forwarding information to designated contacts, and tracking all communications in the companyâs Customer Relationship Management system (CRM)Establish and administer complaint hotlines for employer clients, including assigning hotline codes and creating and distributing welcome communications and postersReview email templates before distribution, coordinate weekly welcome emails, and assist with the creation, editing, and distribution of email communicationsAdd, edit, and maintain website resources as requiredMaintain a professional demeanor and present a positive, professional image in all interactions with clients, management, and team membersSkillsA minimum of one (1) year of clerical experience in a moderateâvolume office environmentTeamâoriented and professionalPossess strong written and verbal communication skillsBe comfortable using a computer and speaking over the phone in all aspects of workHave a high level of efficiency and comfort with multitaskingAbility to type at least 50 words per minute with accuracyIntermediate proficiency in Microsoft Office applications, including word processing, spreadsheets, and emailAbility to perform essential job functions, including regularly walking, sitting, standing, reaching, bending, speaking, listening, and lifting up to 20 poundsSpanish language proficiency is preferred but not requiredBenefitsPaid vacation, sick leave, and holidays.Health, dental, and vision insurance, long-term disability, and voluntary short- term disability, life insurance, flexible spending account, and pet insurance.401(k) safe harbor plan.Flexible hybrid work schedule with a relaxed inâoffice environment.Company OverviewePlace Solutions, Inc. â A Place where Experts provide innovative and comprehensive risk management Solutions.
