The Administrative Assistant will partner with financial advisors to support client needs, enhance productivity, and manage various administrative tasks.ResponsibilitiesEnsure advisors are prepared for client and prospect meetings, including creating and preparing presentations, meeting materials, and reportsDemonstrate a hospitality mindset in setting up and arranging on-site client meetingsEffectively manage advisors’ calendars, including scheduling and maintaining meetings, while considering preferences and needsServe as primary point of escalation for client inquiries and administrative requestsProactively communicate with advisors to understand priorities and keep them up to date on changes and developments that impact their practice and clientsBuild strong relationships with clients and their professionals, responding to their needs with urgency and willingness to go above and beyond expectationsCollaborate with other administrative assistants, coordinators, associates, management, and internal business partners to complete tasks, find solutions, and support business goalsParticipate in event coordination for the office with responsibilities including attending strategy calls, attendee outreach, and event logisticsTake ownership of tasks related to general office maintenance, including ordering supplies and facilities managementGeneral administrative duties including writing correspondence, answering phones, database maintenance, expense management oversight and organizing travel plansAnswer internal and external telephone calls within your team and while covering the reception deskManage data entry, tracking and coordination for team facing initiativesAs tasks are mastered, duties may be supplemented with other projects of increasing responsibility to further enhance business development and client servicing effortsSkills1+ year(s) of administrative or executive support experience in a corporate or professional settingAbility to independently prioritize and execute multiple complex tasks and projects in a fast-paced, deadline-oriented environmentOutstanding verbal and written communication skills to deliver distinctive client serviceStrong time management and organizational skillsIndividuals who are client-focused and have a high attention to detailAccomplished team players who thrive in a rigorous and challenging environmentStrong proficiency in Microsoft Office is requiredExperience with Salesforce preferredBenefitsRetirement plans with matching employer contribution and no fees on core investmentsA holistic employee benefit package to support your and your family’s health and wellnessFlexible time offHybrid work modelMentoring ProgramsHealth insurance coverageAn employee wellness programLife and disability insuranceA retirement savings planPaid holidaysSick and vacation time offCompany OverviewAllianceBernstein is a publicly traded global asset management firm, with approximately $735 billion in assets under management at March It was founded in 1967, and is headquartered in New York, New York, USA, with a workforce of 1001-5000 employees.
