About the position

The New York State Office of Mental Health is seeking an Administrative Assistant 1 for the Hudson River Field Office in Poughkeepsie, NY. This full-time, permanent position involves providing essential administrative support to the office's operations, including assisting senior staff, managing schedules, coordinating travel, and handling various office tasks. The role is crucial for ensuring efficient office management and communication within the agency.

Responsibilities
• Assist the Field Office staff, including the Director and Deputy Director, by maintaining schedules and coordinating travel.

• Process requests through the State Financial System (SFS) and assist with final drafts and major project deliverables.
,
• Provide front office administrative tasks including reception and telephone coverage to triage calls.
,
• Develop and coordinate office procedures and management systems in high-priority areas such as personnel and audit tracking.
,
• Organize meetings and assist with the coordination of regional conferences and events.
,
• Draft reports and correspondence, design formats for data collection, and assist with analysis.
,
• Record meeting minutes and generate reports outlining discussions and next steps.
,
• Coordinate personnel activities including orientation and training for new and existing staff.
,
• Ensure a safe and functional office environment and address any equipment issues as they arise.
,
• Communicate with various stakeholders to ensure timely information flow and coordination of meetings.

Requirements
• Two years of experience in administrative support, including use of office software and customer service.
,
• Permanent status as an Administrative Assistant 1, Grade 11, or eligibility for transfer under Civil Service Law.
,
• Adequate keyboarding skills, demonstrated by passing the Keyboarding Performance Test.

Nice-to-haves
• Experience in a mental health or social services environment.

• Familiarity with the State Financial System (SFS).
