This is a remote position.

Schedule: 11am4pm PST, 5 hours a day, Monday to Friday, totaling 25 hours per week (We are open to offering a fulltime position once we have a clearer understanding of the workload)

Our management team is seeking a proactive and detailoriented Remote Administrative Assistant to support daytoday operations and help keep our administrative and scheduling functions running smoothly.
Position Overview
The Remote Administrative Assistant will work directly with the hospitals management team to
provide organizational, clerical, and scheduling support. This remote role requires excellent
communication skills, a strong sense of initiative, and the ability to manage multiple
responsibilities with accuracy and professionalism. Daily communication will primarily take place
via Slack and email, so responsiveness and clarity in written communication are essential.

Key Responsibilities
Department Scheduling Support:
• Coordinate weekly and monthly scheduling for hospital departments (veterinarians, Treatment, Reception, and Pet Hotel)
• * Communicate with department leads and staff to confirm availability and shift assignments
• Administrative Assistance:
• Assist in preparing and organizing reports, meeting agendas, and internal documents
• Document & File Management:
• Maintain organized digital filing systems and ensure accurate, uptodate records
• * Assist with documentation related to HR, training, and compliance
• Communication & Workflow:
• Communicate regularly with the management team via Slack and email
• * Maintain clear and prompt communication across all tasks and updates
• * Be available for video calls when necessary
• Requirements Qualifications
● Proven experience as a virtual assistant, administrative assistant, or similar role
● Excellent organizational and timemanagement skills
● Strong written and verbal communication abilities
● Proficiency with G Suite (Google Docs, Sheets, Calendar), Slack is a plus
● Comfortable using email professionally and efficiently
● Experience with veterinary practice software (Cornerstone) is a plus
● Ability to work independently and manage multiple priorities
● High level of professionalism, integrity, and discretion

Preferred Skills
● Background in healthcare or veterinary environments
● Experience supporting multidepartment scheduling
● Selfstarter with a problemsolving mindset and processoriented approach
