Join our international RPO Team immediately for a home office-based assignment in Poland!

As a Recruitment Coordinator for our Customer—a global leader in life sciences and diagnostics—you will play a pivotal role in our recruitment efforts. This is not just an administrative role; you will be the central point of coordination, ensuring a seamless experience for candidates and hiring managers across multiple countries and operating companies.

In this high-visibility role, you will work as a strategic partner to more than two Recruiters, managing complex workflows across different time zones and business units. Your ability to prioritize, stay organized, and anticipate needs will be the key to our team’s On‑Time Delivery and overall success.
• The Recruitment Coordinator is accountable for:
• Coordinate and schedule multi‑stage interviews (phone, remote, and in‑person) with hiring managers and panels across various EMEA locations, managing complex calendars with precision.
• Act as the primary support for 2+ Recruiters (Could be 3 to 4), proactively managing shifting priorities and ensuring all administrative bottlenecks are cleared to maintain a fast‑paced recruitment cycle.
• Accurately and timely update candidate workflows in Workday (ATS), ensuring data clean‑up and process compliance at every stage.
• Logistics & Candidate Experience:
• Arrange candidate travel, accommodations, and transportation.
• Provide candidates with directions, interview schedules, itineraries, and guidance on travel expense reimbursement.
• Identify opportunities to enhance the candidate experience and streamline scheduling processes.
• Provide professional follow‑up correspondence to candidates regarding their status and partner with external agencies to coordinate external recruitment efforts.
• Support the creation and maintenance of recruitment metrics, dashboards, and reports to track team performance.
• Manage recruitment processes primarily for the SEB and DACH markets, while also supporting other EMEA countries (UKI, Nordics, and beyond), navigating the unique needs of multiple operating companies (OpCos).
• At least 2 years of administrative experience in a professional, fast‑paced setting. Previous experience in a recruiting or RPO environment is highly preferred.
• A proven ability to juggle multiple tasks, manage competing priorities for various stakeholders, and meet deadlines without compromising quality.
• Proficiency in Workday (or similar ATS) and Microsoft Office Suite (Advanced Outlook, Teams, and Excel for reporting).
• Excellent communication skills with a confident, friendly, and professional demeanor, suitable for a global corporate environment.
• A strong work ethic and the ability to work independently with a high degree of autonomy in a remote/home‑office environment.
• Fluency in Polish and German with English.
• A service‑oriented approach with a track record of dealing effectively with both internal stakeholders and external candidates.

This position comes with a one‑year fixed term contract (with the possibility of extension).
